TL;DR
- Add the vehicles you plan to rent so they show up in bookings.
- Assign each vehicle to the right category and branch.
- Record key details and upload photos so the team can verify the vehicle quickly.
- If you are switching from another platform, import vehicles from Fleet -> Vehicles -> Import.
Steps
Open Vehicles
Head to Fleet β Vehicles and review the fleet list. If empty, you will see a prompt to add your first vehicle.
Import an existing fleet
If you already have a spreadsheet, open Fleet β Vehicles β Import. Download the guide or example file, upload your export, confirm the column mapping, and map any branch or category values that need help.
Create the vehicle record
To add one vehicle manually, create a new vehicle, select the category, assign a branch, and enter the basic details (make, model, and plate).
Track readiness details
Add the current mileage, any service notes, and whether the vehicle is ready for bookings.
Upload documents and photos
Add photos and any documents your team needs for handoffs.
Open the vehicle record and choose Open scheduler to see its next 30 days of bookings and vehicle work. Change the date range to look farther ahead, or clear the vehicle chip to return to the fleet.
Choose Evidence on the vehicle record to compare inspection readings. Filter by workflow or dates, open a reading for its source evidence, and use Export Excel for the complete filtered history. A lower damage count does not confirm a repair.
Validate your work
- The vehicle appears in the list under the right branch and category.
- Booking creation shows the vehicle when the category and branch match.
- The vehicle profile stores the photos and documents you uploaded.
